The Role

We are looking for an experienced Office Manager, who has the ambition to make our office the best workplace in Kyiv.

We expect you to have superb organization skills and the ability to take on multiple tasks at once. You need to be able to ensure our office is running smoothly, can create a professional environment yet make everybody feel at home. Apart from that, you can provide administrative support as well as help us with our hiring initiatives.

Your team should be like your family and you’d “go the extra mile” to make sure they have everything they need to be productive and happy.

Responsibilities
  • Help onboard and support new team members from the administrative standpoint, make sure that all hardware and software is prepared for them 
  • Supply the office with snacks and refreshments
  • Coordinate 3rd party vendors (cleaning firm, internet provider, accountant, etc.)
  • Manage vacation and team attendance
  • Make hardware and furniture purchases
  • Manage equipment inventory
  • Scan and store receipts and documents
  • Manage the office budget
  • Organize company team building events
  • Organize external software engineer meetups in the office
  • Oversee continuous office improvements
  • Implement guidelines to prevent accidents at the workplace
  • Manage communication with applicants for our open positions
  • Help our recruitment team source ideal candidates through channels such as LinkedIn
  • Take on any ad-hoc tasks when the team needs support
Skills & Requirements
  • 2-5 years of work experience in an administrative/office management role
  • Experience with office administration responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail
  • Independent problem solving skills
  • Excellent written and verbal communication skills in English (B2 and higher)
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with the ability to suggest improvements
  • Must be a self-starter and driven
  • Proficient with Microsoft Office and GSuite products
  • No ego and hunger for continuous improvement
  • Easy going, team player
